1. Introduction

AHANIX WEB DESIGN LIMITED respects privacy and handles personal data responsibly. This Privacy Policy explains what personal data AHANIX may collect, how it may be used, who it may be shared with, and the rights available under UK data protection law.

8A. Interactive tools and requested reports

AHANIX tools may process the details needed to provide an instant result or a requested email report. Report requests can include a name, business name, email address, optional phone number, the public website address analysed, the tool used, consent choices and limited technical logs used for security and rate limiting. AHANIX may use these details to deliver the report and follow up about its findings. Optional marketing consent is recorded separately.

Password tools and image optimisation operate locally in the browser. AHANIX does not receive or retain entered passwords, generated passwords or image contents. Public website checks access only information available without authentication. Tool leads are delivered by email and may also be stored in AHANIX's access-controlled customer workspace with the related enquiry, consent record, follow-up tasks, internal notes and quotation history. No tool report is made public. These records and related technical logs are retained only as long as reasonably necessary for delivery, follow-up, security and legal obligations.

8B. Newsletter registration

The newsletter form records an email address and an explicit, optional marketing choice so AHANIX can prepare future occasional website, SEO and security guidance. Registering does not affect access to any service or free resource. Consent can be withdrawn at any time by contacting [email protected]; future messages will also provide an unsubscribe route where applicable.

3. Scope

This policy applies to website visitors, prospective clients, clients, suppliers, and anyone who contacts AHANIX through the website, forms, email, telephone, website assistant, support channels, or direct business communication.

4. Personal data we collect

Depending on how you interact with AHANIX, data may include:

  • selected package or estimate builder choices

4A. Website visitors, customers and authorised workspace users

Public visitor information includes form submissions, cookie choices and permitted technical or analytics information. Customer and prospect information may additionally include project requirements, package interest, calculator answers, quotation history, pipeline status, follow-up tasks, communications and internal administrative notes used to respond to the person and manage the requested business relationship.

Authorised Admin Workspace user information is processed separately to authenticate the three approved Microsoft Entra accounts, apply server-side permissions, record successful sign-ins and retain proportionate audit events. AHANIX does not display Entra tokens, tenant secrets or session tokens in the workspace.

Anonymous use of a browser-only or public checking tool does not automatically create an identifiable customer record. An identifiable tool or CRM record is created only when a person supplies contact information, asks to be contacted, requests a quotation, requests an emailed report or otherwise chooses to engage with AHANIX. Anonymous, consented analytics remains separate from those identifiable records.

5. How we collect data

AHANIX may collect data through quote forms, contact forms, emails, calls, onboarding forms, support requests, cookies, analytics, website assistant interactions, and direct client communication.

6. Why we use personal data

AHANIX may use personal data for:

  • responding to enquiries
  • preparing quotations
  • providing web design services
  • managing projects
  • providing maintenance and support
  • providing out-of-hours support where agreed
  • improving the website
  • record keeping
  • security and fraud prevention
  • operating, controlling access to and auditing the private Admin Workspace

  • sending occasional guidance where separate marketing consent has been given

7. Lawful bases

AHANIX relies on lawful bases under UK GDPR where appropriate, including consent, contract, legitimate interests, and legal obligation. The applicable basis will depend on the data, the context, and the reason it is processed.

8. Website assistant data

If the AHANIX Assistant or AI chat feature is enabled, information entered into it may be processed to provide general guidance about AHANIX services. Users must not submit passwords, payment card details, sensitive personal data, confidential business secrets, medical information, or unnecessary personal information. The assistant does not provide final quotations, legal advice, cybersecurity guarantees, or contractual commitments.

9. Special category data

AHANIX does not intentionally request special category data through the website. Users should not submit unnecessary sensitive data. If such data is submitted accidentally, AHANIX may delete it if not required.

10. Sharing data

AHANIX may share data with:

Data will only be shared where AHANIX considers it reasonably necessary for business operations, service delivery, legal obligations, security, or professional advice.

11. International transfers

Some providers may process data outside the UK. Where required, AHANIX will aim to use appropriate safeguards, such as contractual protections, recognised transfer mechanisms, or providers that offer suitable data protection commitments.

12. Retention

AHANIX keeps personal data only as long as reasonably necessary for the purpose collected, including enquiries, client relationships, project records, legal/accounting requirements, support logs, and security records.

AHANIX uses reasonable technical and organisational measures to protect personal data. However, no online transmission, email system, website, hosting environment, or storage system can be guaranteed completely secure.
